IndustriesClinics and medical offices

AI and automation for clinics, so the front desk can look up from the keyboard.

Alpine Ops helps clinics and medical offices in the Uintah Basin (medical, dental, chiropractic, veterinary and therapy practices) take the retyping, reminder calls and missed after-hours calls off the front desk. We start with the software you already use and work within the privacy rules you already follow, and a person on your staff stays in the loop for anything that matters.

01Where the time goes

A day at the front desk, and where the hours slip away.

In most clinics the time leaks out all day in small pieces: patient details typed twice, reminder calls made one at a time, and the same questions on the phone while someone waits at the counter.

A person seen from behind at a bright reception desk, working on a monitor that shows a calendar, with a plant and a pen cup on the counter.
  1. Before open

    Last night's voicemails

Someone listens to every message left after close, writes down names and numbers, and starts calling back.

  2. Check-in

    Paper intake, typed twice

A new patient fills out the clipboard. The front desk types it into scheduling, then into billing, and sometimes again for reminders.

  3. Mid-morning

The phone, while a patient waits

Hours, directions, "are you taking new patients?", "can you see my dog today?" The same questions, while the person at the counter waits their turn.

  4. Afternoon

    Reminder calls and texts

Tomorrow's patients reminded one at a time, and the schedule fixed by hand every time someone cancels.

  5. After close

    Calls nobody answers

A new patient trying to book, a worried pet owner, a billing question. They reach voicemail, and some call the next office instead.

  6. Friday

The week, added up by hand

Visits, no-shows, new patients and what's still unbilled, pulled from two or three places into one spreadsheet.

02What we'd build

What we'd build for a clinic, and where each piece comes from.

Each piece maps to one of our services. Most clinics need two or three of them, not all six, and the $500 AI process analysis is how we find out which ones are worth it for yours.

  • Intake entered once

The intake form, online or on paper, is entered once and fills scheduling, billing and the reminder list from that one entry. Anything unclear waits for your front desk.

    Automation and custom software
  • Paper forms read for you

Photograph a paper intake form, referral or fax and the fields are filled in. A person checks anything the system flags.

    Automation: paper to data
  • Calls answered when you can't pick up

After hours or on a busy line, an AI assistant answers in your clinic's name, takes the caller's name, number and reason, and texts you a summary. It doesn't give medical advice, and you set what gets flagged urgent.

    AI phone answering
  • The same answers on your website

A chat assistant answers hours, location and new patient questions from your information and sends you the details. Same brain as the phone line.

    Website chatbots
  • A weekly report that builds itself

Visits, no-shows, new patients and anything unbilled, pulled from your systems into one page on a schedule.

    Data, reporting and dashboards
  • A website patients can use

Hours, services, forms and directions on a fast site, with a portal where you approve every change. We help keep your Google Business Profile matching.

03Example workflow

New patients, from the first call to the first visit.

One workflow at a made-up clinic. The steps are typical; the hours are illustrative.

Example: a small family dental office

New patient intake, reminders and after-hours calls.

04What fits, in what order

Where a clinic usually starts, and what comes after.

The analysis decides the order for your office. For most practices we'd expect this, because intake and the phones take the most front desk hours.

  1. Free, then $500

    AI consulting

We walk through intake, scheduling, reminders and billing with your front desk. With your okay, we record and transcribe it.

  2. First build

    Automation

Intake entered once and paper forms read for you. This is usually where the most front desk hours come back.

  3. Same build or next

    Phone and chat

After-hours and busy-line calls answered, with the summary texted to you, and the same answers on your website.

  4. Once data flows

    Reporting

Once intake is entered once, visits, no-shows and unbilled work can land in one weekly report.

  5. Ongoing

    Your AI department

Regular check-ins, everything kept working, and upgrades as AI improves.

Your website can come at any point. If patients can't find your hours or forms online, your website and SEO and GEO may move to the front of the line.

05Questions

Questions clinics ask about AI and automation.

See every question
5.1Do you work with patient information?

Only as much as the work needs, and within the systems and privacy rules your practice already follows. We start with the software you already use, we talk through where any information goes before anything is built, and a person on your staff stays in the loop for anything that matters. If your practice has specific requirements, tell us at the consult and we'll build around them.

5.2Will an AI be talking to our patients?

Only where you want it to. The phone assistant answers when you can't pick up, and the website chat answers general questions. Both answer from the information you give them and send you a summary. Your staff handle everything clinical.

5.3Can the phone assistant book appointments?

Yes, if your build includes appointment scheduling. We connect it to your scheduling so callers can book a time on the call. If you'd rather set times yourself, it takes the request and texts it to you instead.

5.4Do we have to replace our practice management software?

No. We start with the systems you already use and connect them. If something you use truly can't do the job, we'll explain why before anything changes.

5.5Does this work for dental, chiropractic, veterinary and therapy offices?

Yes. The details differ, but the front desk work is much the same: intake typed more than once, reminder calls, phones at open and after close, and reports built by hand. The consult is where we learn how your office does it.

5.6What does it cost?

The consult is free. The AI process analysis is $500. A build is a fixed price, typically $2,500 to $15,000 depending on scope, and you know the exact price before any work starts. Phone answering and website chat are quoted up front or included in your build.
